How do I request temporary withdrawal for personal reasons?
If circumstances arise that hinder the completion of your doctoral thesis, you can apply for a temporary withdrawal of up to two years.
You must notify your supervisors and tutor and submit a request for temporary withdrawal to the academic committee of your programme via the Secretary's Office for Students and Teaching Staff of the faculty in charge of your academic record. Requests must be submitted before the period of withdrawal begins. Students who wish to withdraw for a full academic year must submit their request before enrolling for that year. If you wish to request additional periods of temporary withdrawal for personal reasons, you must reapply via the same procedure.
If the authorized temporary withdrawal is for a period of less than one academic year, you must formally enrol and request acceptance of your research plan or the annual monitoring and assessment of your research plan upon your return as a condition of enrolment for the following academic year.
If you wish to apply for a temporary withdrawal for personal reasons of more than one year without your research plan having been accepted, you must notify the programme's academic committee and it will be assumed that you are withdrawing from your studies.
Authorized periods of withdrawal are recorded in your academic record and are not included in the calculation of your academic progress.
Temporary incapacity for work (illness), childbirth, adoption, fostering, risks during pregnancy or breastfeeding, gender-based violence or any other situation provided for in the applicable regulations will lead to an interruption in the calculation of the period of study. However, you must notify your supervisors and tutor as well as the programme's academic committee through the Secretary's Office for Students and Teaching Staff of the faculty in charge of your transcript. Relevant supporting documentation must be provided to substantiate any of the above situations.
Students with a predoctoral contract must also certify medical leave as members of the UB staff.
