We safeguard students; professors; technical, administrative and management staff; and, in general, any citizen who interacts with our institution, in compliance with current regulations. The General Secretariat is responsible for all personal data processing at the University. The Data Protection Office  is the administrative unit that informs and advises the data controller - and the University's employees who process personal data - about the obligations established by personal data protection regulations.

When publishing a contact form, you must ensure that only strictly necessary data (name, surname, and email) is collected. Personal data such as ID number or place of residence cannot be collected unless their necessity is justified.

Before the submit button, you must include the content of the Summary Information document. Additionally, download the  Detailed Information document, upload it to the same server as the website or OneDrive, and link it to the summary information. Directly linking the previous documents is not allowed.

It is important to note that the checkbox in the Summary Information document must be mandatory and not preselected by default.

Organizing a graduation event usually involves collecting personal data from various groups (graduating students and their guests, as well as professors or other university staff involved). It may also involve processing data such as names, surnames, course details, images and voice recordings.

To comply with the key data protection regulations (principle of minimization, storage limitation, informing individuals about data processing, obtaining consent when necessary, or formalizing appropriate data processing agreements), refer to the Note on Managing Graduation Events and Recording Photos and Videos.

En l'organització d'una jornada o activitat anàloga, habitualment és necessari recollir dades personals de diferents col·lectius (ponents i moderadors o assistents). A més, es pot decidir també fer fotografies o enregistrar la jornada o activitat anàloga i, fins i tot, retransmetre-la.

Per complir les obligacions que estableix la normativa de protecció dades personals d'informar les persones afectades i obtenir-ne el consentiment quan sigui necessari, cal seguir el que estableix la Instrucció 1/2025, de 12 de març, de la Secretaria General, sobre la manera de gestionar i/o retransmetre jornades o activitats anàlogues i fer-hi fotografies i/o enregistraments, i la Guia sobre la manera de gestionar i/o retransmetre jornades o activitats anàlogues i fer-hi fotografies i/o enregistraments, la qual ve acompanyada d’un conjunt de documents model.

Aclariments: en relació amb les persones que intervinguin en l'activitat per raó del càrrec públic (degans, secretaris, etc.), no cal obtenir-ne el consentiment, atès que està exempt per l'article 8.2 de la Llei orgànica 1/1982, de 5 de maig, sobre protecció civil del dret a l'honor, a la intimitat personal i familiar, i a la pròpia imatge. En canvi, sí que cal obtenir el consentiment de les persones ponents.

​​​​​​​Les accions indicades a la Instrucció 1/2025 no s'apliquen a les jornades o actes que organitza un tercer a les instal·lacions de la Universitat de Barcelona. En aquest, qui lloga o ocupa l'espai, si decideix fer fotografies o enregistrar, esdevé responsable del tractament de les dades personals i, per tant, ha de ser aquest tercer qui doni compliment a les obligacions de la normativa de protecció de dades personals (entre d'altres, informar i obtenir el consentiment, quan sigui necessari, de les persones afectades).

​​​​​​​L'esmentada Instrucció tampoc no és aplicable als enregistraments que es fan amb altres finalitats i, en concret, als enregistraments amb finalitats acadèmiques que es fan en el marc de la docència impartida en els ensenyaments a la Universitat de Barcelona.
