Procedure for the submission of master’s degree, postgraduate programme and university extension course proposals
Due to the adaptation of lifelong learning to the EHEA, certain adjustments have been made to the procedure for submitting and sending proposals.
We strongly recommend that you consult the document produced by the Postgraduate Agency, The ECTS system in ECTS-specific postgraduate degrees.
The procedure for the submission of proposals is set out below:
- Log in to the application, within the PDI personal space. Read all the information before filling in the proposal. Validate it and leave it in the status Finalitzat by the lecturer. Remember that the number of credits of the course must be specified in ECTS credits.
- Fill in the Excel document PG_professorat_despeses, where the list of teaching staff and teaching workload must be stated, as well as the details of the items "Despeses de funcionament" and "Altres despeses" of the financial report, if any.
- Book the teaching facility, in case the course is held at the Faculty.
- Prepare and submit the draft agreement, if applicable.
All documentation, except the course proposal (which does not need to be printed out), must be submitted to the Secretary’s Office for Students and Teaching Staff.
Please email the following documents to carsanchez@ub.edu:
- Excel PG_professorat_despeses
- Draft agreement, if necessary
Although proposals can be made at any time, the Secretary’s Office collects them on the 10th of each month (all documentation must be submitted before that date).
For the approval of courses, it is essential that the Faculty’s Lifelong Learning Committee approves them, prior to the approval of the Posgraduate Agency’s Permanent Committee, which meets every two months.
In order for courses approved by the Faculty’s Lifelong Learning Committee to be submitted to the Postgraduate Agency for approval, the following timetable has been established:
- Submitted documents: before 30 September
Faculty’s approval: October
Agency’s approval: November
Active course: 6 December
- Submitted documents: before 15 December
Faculty’s approval: January
Agency’s approval: February
Active course: 6 March
- Submitted documents: before 28 February
Faculty’s approval: March
Agency’s approval: April
Active course: 6 May
- Submitted documents: before 30 April
Faculty’s approval: May
Agency’s approval: June
Active course: 6 July
- Submitted documents: before 10 May
Faculty’s approval: May
Agency’s approval: June
Active course: 6 de July
The Faculty's Lifelong Learning Committee deals with the proposals submitted to the Secretary's Office for Students and Teaching before the 10th, provided that the documentation is complete. It issues the corresponding report and, in the event of a favourable report, sends them to the Postgraduate Agency for consideration at the corresponding session. If the Postgraduate Agency approves the course, it can start its normal operation from the first day of the month following the Agency's approval.
The Board of Trustees is the body responsible for approving course proposals. However, it has delegated to the Agència de Postgrau the approval of proposals that meet the following requirements:
- Credit cost: ≤ €400
- Price per hour of teaching: ≤ €150
- Management and coordination costs: ≤ 10% of gross income
The Postgraduate Studies Committee, in the 25 February 2005 meeting, reached this agreement:
- All courses (new and existing ones) have to book the facilities to teach before the presentation of the proposal.
- Courses must be taught by at least 40% of the teaching staff of the University. If this requirement is not met, the course leader must provide a reasoned proof.
- No course can be in deficit. The course director is responsible for the financial management of the course. In the event of a reduction in the income foreseen in the initial budget, the expenses must be modified and adapted to the final actual income, by submitting the corresponding budget modification to the Secretary’s Office for Students and Teaching Staff, addressed to the president of the Postgraduate Studies Committee.
- No new course proposal may deal with a subject taught by other existing courses.
- When drawing up a proposal for a postgraduate course, it must be determined whether to admit as students persons who do not have graduate status and who opt for a university extension diploma instead of the postgraduate diploma or master’s degree issued to postgraduates.
This new possibility replaces the option "Does it have an associated extension?" which automatically generated an extension course with the same name and budget as the postgraduate course submitted.
Under no circumstances, once enrolment has been formalized, may the condition of graduate be accredited in order to modify the conditions of access. Nor may the extension degree be exchanged for the postgraduate degree if the student becomes a graduate while taking the course or once it has been completed.
- At the same time as the postgraduate course proposal is being drawn up, it is necessary to determine whether conditional enrolment is allowed for students who have up to 10% of their credits left to complete their studies in the Spanish education system. If so, they can access postgraduate courses by conditional enrolment. If they have the status of graduates on the day on which the proposal of the course report, formally approved, establishes the date of completion of the course, they can obtain the corresponding postgraduate degree.
If the course considers the incorporation of non-graduates, students with conditional enrolment who cannot accredit their status as graduates within the established period can obtain the corresponding university extension degree.
If the course does not include the possibility of incorporating non-graduates to opt for a university extension degree, the student who cannot accredit the condition of graduate within the established period is not entitled to obtain any degree or to the total or partial refund of the enrolment fee.
